Certificates, official records and educational documents: how to obtain them and prepare them for use in Italy or Ukraine. Through coordination between our offices in Rome and Kyiv, we offer assistance in identifying the required documents, requesting them from the competent authorities and preparing them for use in the destination country.
Using a document in another country
Before submitting a document abroad, establish which version the receiving authority requires: an original, replacement certificate, register extract, certified copy or electronic document. Translation and authentication requirements must also be checked.
The process depends on the document, its country of issue and its purpose: citizenship, marriage, education, employment, pensions, inheritance or business. UCI Zonale di Roma and UCI Ucraina coordinate document assistance between Rome and Kyiv, from the initial review to preparation of the document package.
Retrieval: obtaining a missing document
Document retrieval means requesting a record from the authority that issues or holds it. This may involve a replacement certificate, register extract, archival copy or updated record.
Enquiries may concern:
- birth, marriage and death records;
- divorce and name-change documents;
- criminal record certificates and court documents;
- residence and household certificates;
- diplomas, supplements, academic records and course programmes;
- employment, pension and archival records;
- notarial deeds, powers of attorney and inheritance documents;
- property, company and other official records.
We assess whether an authorised representative can obtain the document. Written authorisation or a power of attorney may be needed; some applications may require personal attendance.
Translation: choosing the appropriate form
A translation for information may differ from one required for an official application.
During the Italian asseverazione procedure, the translator takes an oath and accepts responsibility for the translation’s correspondence with the original. The court administers the oath; it does not translate the document. Rome Court — Sworn translations.
Before work begins, we check the language, completeness and required certification method. Names, patronymics, previous personal details, stamps and annotations receive particular attention.
Apostille and legalisation: what they establish
An apostille authenticates a public document’s origin: the signature, the signatory’s capacity and the seal or stamp. It does not verify the document’s contents or replace its translation. Under the Hague Convention, it replaces diplomatic or consular legalisation. Hague Convention of 5 October 1961.

Ukrainian documents for use in Italy
The Italian Embassy in Kyiv describes a route involving an original certificate apostilled in Ukraine, followed by a sworn translation in Italy. We check whether this route suits the particular application. Embassy guidance. Italian documents intended for Ukraine are assessed against the receiving Ukrainian authority’s requirements.
What to prepare for an initial review
- A readable copy, if available, including every page and attachment.
- The name of the receiving authority.
- The purpose and any notified deadline.
- Written instructions received from the authority.
- Details of name changes and previous applications.
Identification and originals are requested according to the service needed. Agree the delivery method and recipient before sending originals.
Timing, costs and delivery
The quotation separates assistance, translation, certification formalities, official fees and delivery. Timing also depends on the issuing authorities and access to archives. We check the completed package and agree how it will be delivered. The receiving authority makes the final decision on acceptance.
